About the Role
We are seeking a warm, highly organized, and self-motivated Client Coordinator to guide our clients from initial inquiry through to their big day. This role blends relationship-building, customer service, and administrative excellence. You’ll nurture leads, manage client accounts, schedule meetings, and work with our team to ensure every detail is in place to bring their event vision to life.
Key Responsibilities
- Respond promptly to inquiries via email, phone, social media, and online platforms
- Answer all incoming phone calls with professionalism, warmth, and enthusiasm
- Greet everyone who visits our office and help maintain office organization and cleanliness
- Walk potential clients through our soft sales process with care and authenticity
- Manage lead tracking, follow-ups, and workflow using CRM tools
- Schedule and prepare consultations for DJs and complete client consults as needed
- Prepare quotes, contracts, invoices, and collect payments and deposits
- Maintain consistent communication with clients throughout the planning process
- Coordinate meetings and timelines between clients and event staff; ensure all planning milestones are met
- Foster relationships with other vendors, collaborating with them to confirm event logistics, including music and setup needs
- Support team scheduling and ensure event staff are prepped with all relevant client details
What We’re Looking For

- Strong organizational skills and attention to detail
- Comfortable juggling multiple tasks while maintaining accuracy
- Experience with CRM software, Google Suite, Microsoft Office, Slack, etc.
- Confidence with face-to-face client interaction and follow-through
- A positive, proactive attitude with a team-focused mindset
- Creative problem-solving and systems thinking
Bonus Points For:
- 1–3 years of office or customer service experience
- A love of celebration, music, and meaningful connections
- Relatability to clients aged 20–30
- Dance moves you’re slightly embarrassed by (but do anyway)
The Details
- Part-time, in-person at our Boise office
- Tuesday–Friday schedule with occasional evening meetings
- $18-22/hour starting pay
